Registration conditions

In order to give fair recognition to high level athletes and to ensure a fair management of entry applications, we reserve places for elite athletes according to their UTMB Index in the category of the race they chose to compete. Elite runners must register during the registration period. No registration will be accepted after the deadline. If the distance is lottery based, the elite runners must register at the same time as other athletes. Once a distance is sold out, the event organizer has the right to refuse an elite registration. Minimum UTMB index given access to a free registration:

• Group A events - All UTMB World Series Events and UTMB World Series Majors except those in Group B.
• Group B events - Lavaredo Ultra-Trail by UTMB and Eiger Trail by UTMB

Free Elite entries cannot be guaranteed in the following circumstances and are subject to the race directors' discretion.

• For races that are sold out
• For registrations that are closed
• Less than 30 days before the event

Other Conditions

• If an event has two races in the same category only the finals qualifier races gives free entries.
• Free registration criteria do not apply to 20K races.

Races with a lottery

Athletes with a UTMB Index greater than those listed in the tables above can have free access and bypass the lottery based on their category UTMB Index. Registration requests must be received before the close of the lottery application period. No bibs will be granted after the close of registrations. Group A / Group B levels correspond the top 200 / 100 runners by UTMB Index in each category.

In Romania, it is not mandatory to present a medical certificate to participate in a competition.

However, we strongly recommend that all participants regularly undergo a stress test with their doctor for their own safety.

Prices include VAT and registration fee. An additional 8% administration fee will be charged. Those administration fees are not refundable in case of cancelation.

NOTE:

_Make sure to have your own medical and travel insurance that covers racing accidents. While the organization covers any costs directly related to medical treatment on the course, any further treatment must be covered by the participant and/or their insurance. Medical insurance is not obligatory but strongly recommended! _

To another runner:

• Registration is personal. However, it is possible to transfer a registration to someone else until 4 weeks before the opening of the first day of bib distribution (24.06.2027) provided that the runner who will benefit from the registration transfer also meets the entry conditions listed above. 20 euros transfer fee applies. Once the recipient has accepted and completed the transfer, the original registrant will be cancelled and refunded. Refunds are processed within 5-7 business days. The transfer fee will be deducted automatically from the refund. Process for transfer to someone else, please contact: bucovina@service.utmb.world

To another race of the same event:

• It is possible to transfer a registration to a shorter distance until 24.06.2027 and in the limit of places available. In this case, no refund will be made. The event organiser must be contacted directly via email. It is also possible to ask to transfer a registration to a longer distance but the request will not be automatically accepted and will be at the discretion of the race director.
• Transfers are only available is the new distance is not sold out.

You can cancel your registration at any time through your personal account MyUTMB+.

The Flexibility Fee (99 ron) is an optional add-on you can purchase only during registration. If you do not purchase it, no refunds of any kind will be available. Also no deferral for the next editions of another race from UTMB World Series.

With the Flexibility Fee, you may cancel your race entry directly through your MyUTMB+ account and receive a full or partial refund, depending on the cancellation date.

Refunds apply only to the race registration fee.

The Flexibility Fee itself (99 ron) and the 8% service fee are non-refundable.

All cancellations must be completed by the participant through their MyUTMB dashboard. Once cancelled, the registration cannot be reinstated. Flexibility Fee is not applicable for the RUNC Challenge 5k race.

DETAILS ABOUT FLEXIBILITY FEE:

1. GENERAL For the Bucovina Ultra Rocks by UTMB 2026 event (23-25 July 2027), we offer an optional Flexibility Fee that can be added to the registration fee of your chosen race.

2. GENERAL REFUND POLICY Please note that no refunds of any kind, for any reason, are available if you choose not to purchase the Flexibility Fee option.

3. COST The Flexibility Fee costs 99 ron per registration, regardless of race, distance, or price tier.

4. PURCHASING RESTRICTIONS The Flexibility Fee can only be purchased at the time of registration. It cannot be added afterwards.

5. COVERAGE By purchasing the Flexibility Fee, the participant gains the right to cancel their registration for a full or partial refund, depending on the cancellation date.

6. REFUND AMOUNT The refund amount will be calculated based on the registration fee paid at the time of registration. Only the registration fee itself will be refunded.

7. EXCLUSIONS The Flexibility Fee (99 ron) and the Service Fee (8%) are non-refundable. Refunds apply only to the race registration fee.

8. CONDITIONS Participants may cancel their registration at any time up to the dates listed in section 5, without providing a reason or any supporting documentation.

9. HOW TO CANCEL Cancellations must be completed exclusively by the participant, before the deadlines, in their registration dashboard accessed through their My UTMB. Login into your My UTMB account click the link to access the Bucovina Ultra Rocks by UTMB registration and then, using the “CANCEL MY REGISTRATION” function. The registration dashboard system timestamp is the only authoritative and legally valid time reference for determining eligibility. Email requests, messages, or verbal notifications will not be accepted as cancellation. It is the participant’s sole responsibility to understand the cancellation process and to ensure that the cancellation is completed correctly and on time.

10. REFUND PAYMENT PROCESS Refunds will be issued using the same payment method used during registration. Depending on the payment provider, the refunded amount may take up to 20 business days to appear in the participant’s account.

11. FINALITY OF CANCELLATION All cancellations are final and irreversible. Once a participant submits a cancellation request through their MyUTMB+ account, the registration is permanently cancelled and cannot be reinstated, regardless of the reason (including accidental cancellation, misunderstanding, or technical error). The participant is solely responsible for ensuring the accuracy and intention of their cancellation request. If you cancel your existing registration, you will need to register again through MyUTMB+ platform if BIBs are still available.

If the race is sold out, there will not be a waiting list.

In the case of the cancellation of a race, for any reason whatsoever, decided more than 15 days before the departure date, a partial refund of the registration fees will be made. The amount of this refund will be determined in such a way as to enable the organization to cover all the non-recoverable expenses incurred as of the date of cancellation.

In the event of cancellation decided less than 15 days before departure or in the event of interruption of the race, for any reason whatsoever, no registration refund will be made.
